What does ViamOne pick out of a document?

Updated 5 Oct 2026 · 3 min read

When you add a document, ViamOne reads it for you. Instead of a pile of files called "scan_0042.pdf", you get a vault that knows this is Emma's passport, that it expires in March 2029, and that you should start the renewal in good time.

Here's what it picks out, and where you'll find it.

What ViamOne picks out

  • Type: what kind of document it is, such as a passport, driving licence, insurance policy, prescription or bank statement.
  • A clear name: the file is renamed to say what it is and whose it is, unless you've already renamed it yourself.
  • Belongs to: the person or people in your family the document is about.
  • Key dates: when it expires or is due, and when it started, such as Expires and Valid from.
  • The details for that type of document. For a passport that's the names and passport number; for a policy it can be the insurer, the policy number and the amount.
  • AI summary: a few plain sentences about what the document says. For a photo, In this image describes what the picture shows.
  • Tags: words that help you find it later in search.

ViamOne also files the document into a matching folder, such as Identity & Travel, Health or Insurance, and if it's a newer copy of something you already have, it marks the older one Replaced by the new one and keeps it as history.

Where you'll see it

Open the document from your Vault. On viamone.com the details are on the right of the page. In the app, they're on the document's page too.

  • At a glance shows the expiry, with how many days are left, and the details for that type.
  • AI summary and Tags come next.
  • Belongs to sits under the document's name.

To see where a date came from on viamone.com, click the line under the expiry, such as "Read next to" a label on the page. ViamOne shows the words it read the date from.

Security: What ViamOne picks out is only shown to people in your vault. ID, card and bank numbers stay masked until you choose to see them.

What happens next

  • Expiry and renewal dates become reminders on Home. See How do expiry and renewal alerts work?.
  • If ViamOne isn't sure about an expiry date, it asks you a quick question on Home so you can confirm or correct it.
  • If it can't tell whose a document is, Home asks "Whose is" the document, with Assign to… so you can choose.
  • If Learn facts from documents is turned on (on viamone.com, under Family › People), facts like an employer, school or address are added to each person's card.

Note: ViamOne never reads documents in a private folder. They're stored and previewed only. See What is the private folder?.

Fix anything that's wrong

You can correct any detail ViamOne picked out, and your correction is kept even if the document is read again. See How do I edit a document's details? and How do I fix an expiry date ViamOne got wrong?.

Didn't work?

The expiry date is wrong or missing

Some documents print several dates, or none clearly labelled. Correct it on the document's page. See How do I fix an expiry date ViamOne got wrong?.

It's linked to the wrong person

Click Belongs to under the document's name and choose the right person. See How do I edit a document's details?.

Nothing was picked out at all

If the page says "Couldn't read this document", the file may be blurry, dark or password-protected. Add a clearer copy, then see How do I get ViamOne to read a document again?. If it's still waiting to be read, see When will my document be read?.
