How do I edit a document's details?

Updated 5 Oct 2026 · 3 min read

When ViamOne reads a document, it fills in the details it finds, such as a name, a policy number or a date. You can correct any of them, and you can rename the document, add tags and say who it belongs to. Your changes are kept, even if the document is read again.

Correct a detail

  1. Sign in at viamone.com.
  2. In the left menu, under Vault, click Files, then double-click the document.
  3. In the At a glance card, click the value you want to change.
  4. Type the correct value and press Enter, or click the tick. Press Esc, or click the cross, to cancel.

Rename the document

  1. In Files, right-click the document, or click its More button.
  2. Click Rename.
  3. Type the new name and click Rename.

Tags and who it belongs to

Tags help you group and find documents. On the web, use the Tags card and click Add tag. On the phone, tags sit under AI summary: tap Add tag. Type the tag and press Enter or tap the tick. Tap the small cross on a tag to remove it. A document can have up to 10 tags.

To choose who a document is for, click or tap the Belongs to line under the document's name. Tick everyone it belongs to and click Save. If you tick more than one person, Filed under lets you pick the main person, who is shown first on Emergency, Home and in emails.

Your changes stick

A small lock appears beside each detail you corrected. ViamOne keeps your value from then on, even when you ask it to How do I get ViamOne to read a document again?. The same goes for a name you chose yourself.

If you type a value in all capitals or all lower case, ViamOne tidies it, so MALE becomes Male. Anything you typed in mixed case is kept exactly as you wrote it.

Security: ID, card and bank account numbers are shown masked and can't be edited here. Click or tap the eye icon to see one, and it hides again by itself shortly after.

Didn't work?

Nothing happens when I click a value

Some documents only show general rows, such as Issued by or File, and those can't be edited. Masked sensitive numbers can't be edited either. If you can't change anything at all, you may be a viewer in this vault, and viewers can look but not edit.

I get an error when I save a date

For an expiry or start date, type it as 2029-06-30 or 30 Jun 2029, not 06/30/2029. See How do I fix an expiry date ViamOne got wrong?.

ViamOne changed my document's name

When ViamOne reads a document, it gives it a clear name, unless you've renamed it yourself. Rename it once and ViamOne won't change it again.
