How do expiry and renewal alerts work?
Updated 5 Oct 2026 · 3 min read
When ViamOne reads a document with an expiry date, such as a passport, driving licence or insurance policy, it keeps an eye on that date for you. You don't need to set anything up. There are two parts: alerts as the date gets close, and a renewal task on Home.
The alerts
ViamOne sends an alert for a document 90, 30, 14 and 7 days before it expires, and again the day before. Each alert is sent once.
Each alert goes to the person who added the document to the vault. It says whose document it is, when it expires and a sensible next step. You get it:
- In your notifications in the app
- As a push on your phone, if Expiry alerts is on in your notification settings
- By email, if Email alerts is on
On the phone, an expiry push has two buttons. Renewed — add the new one opens the app so you can add the new document. Remind me in a week sets a reminder for a week later.
Security: A ViamOne alert never asks for your password or a sign-in code. If an email that looks like one does, don't reply. Open the ViamOne app yourself instead.
The renewal task on Home
When a document gets close enough to renew, a task appears on Home, marked Found by ViamOne. How early depends on the document. A passport can take months to renew, so its task appears long before the expiry date. An insurance policy appears closer to the date.
Open the task to see what to do. Depending on the document, it may offer Renew online, Upload the document, or steps under Show me how. When you add the renewed document, the task is marked done for you.
When you've renewed it
- Add the new document to your vault, by scanning, uploading or emailing it.
- ViamOne reads it and sees that it replaces the old one.
- The old document is kept as history and its alerts stop.
If the new upload doesn't match the task, Home shows a line under the task saying the upload didn't resolve it. Check the new document's type and expiry date. See How do I fix an expiry date ViamOne got wrong?.
Choose how you're told
- Click Settings in the left menu, then the Notifications tab.
- Under Tell me about, turn Expiry alerts on or off. This controls the push on your phone.
- Under Email, turn Email alerts on or off.
- Tap More, then Notifications.
- Under Tell me about, turn Expiry alerts on or off.
- Under Email, turn Email alerts on or off.
Turning these off doesn't stop the alerts appearing in the app's own notifications list.
Note: With Email alerts on, you also get a short email listing open tasks that are overdue or due within 30 days. It's only sent when that list changes, or once a week.
Didn't work?
I didn't get an alert for a document
ViamOne needs the expiry date to alert you. Open the document and check the date it found. If it's missing or wrong, see How do I fix an expiry date ViamOne got wrong?. Home may also ask "We couldn't find an expiry date on…" with Add date….
I keep getting alerts for something I've already renewed
Add the renewed document to the vault. Once ViamOne sees it replaces the old one, the old alerts stop.
Someone else in the family got the alert, not me
Alerts go to whoever added the document. They can assign the renewal task on Home to you. See How do I add, complete and get reminded about tasks?.
I get alerts in the app but nothing on my phone
Check that push is on for your phone. See Why aren't my reminders arriving?.
