How do I invite someone to my vault, and what can they do?

Inviting someone gives them their own sign-in to your vault. They see the family's documents, Home and People, and they can ask questions about the vault. Only the vault owner and admins can send invites.

Someone you invite joins on your plan, so they don't need to pay for one of their own.

Send an invite

Sign in at viamone.com.
Under Family in the left menu, click People.
Click Invite at the top of the page.
Type their email address and choose Member or Viewer.
Pick a Relationship and a Reason for adding. Add Notes if you like.
Click Send invite.

For most reasons, such as a new baby or a new caregiver, ViamOne adds a short checklist of things to sort out to Home once they accept.

What happens next

They get an email from ViamOne with a link to join. The link works for 7 days. They sign in, or create an account, with the same email address you invited, then click Accept invitation.

Until they accept, the invite waits under Pending invites on the People page. There you can resend it, which sends a fresh 7-day link, or cancel it.

What each role can do

Owner: that's you. Everything, including the plan, the vault successor and everyone's role.
Admin: manage documents, folders and invites.
Member: upload and manage their own documents, see the vault's documents, ask questions and add celebrations. A member can delete only documents they uploaded.
Viewer: read-only. A viewer can open and read documents but can't upload, change, download, share or delete them.

Everyone sees the vault's documents, except files someone keeps in their own private folder. See What is the private folder?.

Security: Give each person only the access they need. A Viewer can read but can't download, share or delete, and only the owner can make someone an admin.

Change someone's role

Only the owner can do this. You can't invite someone as an admin, so invite them as a member first and change their role once they've joined.

On the web, open People and click the arrow beside their name under Vault members. On the phone, open People and tap their name.
Choose Change membership.
Pick Admin, Member or Viewer.

Note: Admins have to turn on two-step sign-in before they can use the vault. See How do I turn on two-step sign-in?.

Didn't work?

It says I've reached my member limit

Each plan allows a set number of people, and you count as one. A pending invite holds a place too, so cancel any you no longer need, or move to a bigger plan. See What does each ViamOne plan include?.

It says they already own a vault

Someone who has their own ViamOne vault can't join yours. Joining would leave their vault without an owner. Send documents to their vault instead: How do I share documents with another vault?.

Their invite link has expired

Links last 7 days. Resend the invite from Pending invites and they'll get a new one.

They can't accept the invite

They need to sign in with the exact email address you invited. If they use a different address, cancel the invite and send a new one to the address they use.
