How do I share documents with another vault?

Updated 5 Oct 2026 · 3 min read

Sometimes the person you want to share with has their own ViamOne vault, like a grown-up child or a parent. You can send a document straight into their vault, or share a folder that both vaults can see and add to. Nothing lands in their vault until they accept, unless their vault already trusts yours.

Send a document

  1. Open the document and click Share.
  2. Under Send to a ViamOne vault, type the email they use for ViamOne.
  3. Choose A view or A copy. For a view, pick how long it lasts: 7 days, 30 days, 90 days or 1 year.
  4. Add a note if you like, then click Send a view or Send a copy.

A view is read-only in their vault and nothing is copied. You can take it back at any time, and it ends on its own when the time runs out. They can choose to save a copy while it lasts.

A copy becomes their own document to keep. Later changes to yours don't follow it.

Before you send, What leaves your vault lists exactly what goes: the file, what ViamOne read from it and who it belongs to. For passports, medical records, bank papers, wills and similar, you're asked to confirm.

If the email isn't on ViamOne, you're offered Email them a link instead. That link opens in a browser and works for 1, 7 or 30 days, with an optional password you tell them yourself.

Security: When someone opens a link you emailed, ViamOne tells you. Prefer a view to a copy, since a view can be taken back.

Share a folder

A shared folder works both ways: you both add documents and you both see everything in it. Each document stays with the vault that added it, and either of you can save a copy.

  1. Open a folder you made. On the web click Share folder link; on the phone tap the share icon at the top.
  2. Under Share with a ViamOne vault, type their email.
  3. Click or tap Share the folder.

They get a folder with the same name in their vault. A folder can be shared with one other vault at a time, and the folders ViamOne makes for you can't be shared.

Accept and manage shares

Open Shared. On the web it's under Vault in the left menu; on the phone tap More, then Shared.

  • Received: Accept or Decline what others send you. Open a view, or Save a copy to keep it.
  • Sent: Withdraw something not yet accepted, Take it back to end a view, or End sharing for a folder. Both folders stay when sharing ends.
  • Trusted vaults: owners and admins choose, for each vault, Trust, Ask each time or Block.

The first time an owner or admin accepts something from a new vault, they choose Accept and trust this vault or Accept — ask me each time.

Note: Documents in a private folder can't be sent on their own, and viewers can't share.

Didn't work?

It says no ViamOne vault uses that email

Check you have the email they sign in to ViamOne with. If they don't use ViamOne, send them a link instead.

It says that vault doesn't accept shares from yours

Their vault has blocked yours. Ask them to change it under Shared › Trusted vaults.

I don't see a Share button

Viewers can't share. If the document is in your private folder, it has to move to the vault first. See What is the private folder?.

Your vault stays yours

ViamOne will never ask for your password or a sign-in code: not by email, phone or message, and not in a ticket.
