How do folders work?
Updated 5 Oct 2026 · 3 min read
You don't have to file anything in ViamOne. Once it has read a document, it puts it in a folder by type for you. You can also make your own folders for anything you want to keep together.
Two kinds of folder
ViamOne's own folders are called Smart folders on the web and AI folders in the phone app. They are Identity & Travel, Finance, Health, Insurance, Legal, Property, Education, Vehicle, Food & Dining, Expiring Soon and Other. Everyone in the vault can see them. A document can sit in more than one, for example a driving licence in both Identity & Travel and Vehicle. You can't rename, delete or share these folders, and you can't take a document out of one.
My folders are the ones you make yourself. They're private: only you can see them and what's inside. Read What is the private folder? before you use one, because ViamOne doesn't read files you add to them.
Security: Not even the vault owner can open a folder you make, so it's the place for papers that are nobody else's business.
Make a folder
- Sign in at viamone.com.
- In the left menu, under Vault, click Folders.
- Under My folders, click New folder.
- Type a name, pick a Color and click Create Folder.
Move a document to a folder
- In Files, right-click the document, or click its More button.
- Click Move to folder, then click the folder.
To add a new file straight into a folder, open the folder and click Upload.
Rename or delete your folder
Point at one of your folders and click its ⋮ button, then choose Rename or Move to Trash.
Make a folder
- Open the ViamOne app and tap Vault.
- Tap Folders at the top.
- Under My folders, tap New folder.
- Type a name, pick a Color and tap Create folder.
Move a document to a folder
- In Files, tap ⋮ beside the document.
- Tap Move to folder, then tap the folder.
To add a new file straight into a folder, open the folder and tap the + button.
Rename or delete your folder
Press and hold the folder. To rename it, tap its name at the top of the sheet, type, and tap Return. To delete it, tap Delete folder — files stay in the vault.
A deleted folder goes to Trash. You can restore it from Trash on the web for 30 days. See How do I delete or restore a document?.
Tip: To see just one folder's documents in Files, use the Folder filter at the top of the list.
Didn't work?
"Only the vault owner or admin can copy a document out of an AI folder"
Once ViamOne has read a document, it lives in an AI folder that the whole family shares. Only the vault owner or an admin can also put it in a private folder. Ask one of them, or keep it where it is.
"A folder with this name already exists"
Folder names must be different across the whole vault, including folders you can't see. Pick another name.
A document is in the wrong AI folder
The folder follows the type ViamOne gave the document. Use Move to folder and pick the right AI folder, or How do I get ViamOne to read a document again? if the type itself is wrong.
