How do I email documents to my vault?

Updated 5 Oct 2026 · 3 min read

Every vault can have its own email address, something like [email protected]. Anything attached to an email you send or forward there is added to your vault. It's the easiest way to save a renewal notice, a policy or a receipt that arrived by email.

Only the vault owner or an admin can create the address. Once it exists, everyone in the vault can use it.

Find your vault's address

  1. Sign in at viamone.com.
  2. In the left menu, under Family, click People.
  3. Make sure Vault is selected at the top of the page.
  4. Under Vault email, click Copy address. If there's no address yet, click Generate first.

You can also click Forward by email at the top of the Vault page. It copies the address for you.

Tip: Save the address as a contact called "ViamOne vault" so it's easy to find when you forward something.

Send the document

  1. Open the email that has the document attached, or write a new one and attach the file.
  2. Put your vault's address in the To line. The subject and message don't matter.
  3. Send it.

Each attachment becomes its own document. Photos placed inside the email are saved too, but small logos and signature images are skipped. The text of the email itself isn't saved.

Who can send to it

Emails from anyone who signs in to your vault go straight in. So do emails from addresses you've chosen to trust.

An email from anyone else, such as your insurer or your doctor's office, waits for the vault owner or an admin to approve it on Home. Nothing from them is added until then. See What do "Just this once" and "Always trust" mean?.

Security: Share your vault address only with people and companies you expect documents from. Even if it gets passed around, nothing from an unknown sender is added without approval.

What you can send

  • PDFs
  • Word and Excel files
  • JPG, PNG, WebP and TIFF images
  • Text files

Each attachment can be up to 10 MB, and the whole email up to 25 MB. If something is too big, the vault owner gets a notification and an email saying which file wasn't added and why.

Didn't work?

My email never arrived in the vault

Check the address was typed exactly. If you sent it from an address that doesn't sign in to the vault, it's waiting for approval on Home. If the attachments together were over 25 MB, nothing was added, so send them in a few smaller emails. Then see When will my document be read?.

I got a "Couldn't add" message about an attachment

The file was a type ViamOne doesn't accept yet, such as an iPhone HEIC photo. It wasn't kept anywhere. Ask for it in one of the types listed above, or save it as a PDF or JPG and send it again.

One attachment is missing but the others arrived

That attachment was probably over 10 MB. Split it into smaller files, for example a long PDF into two parts, and send them again.

Emails from new senders stopped showing up on Home

If 20 emails from unknown senders are already waiting, new ones aren't kept, and the vault owner gets a notification saying so. Approve or reject the ones waiting on Home, then ask the sender to send again.
