Privacy Policy

1. Introduction

ViamOne is a product of ViamLabs LLC ("ViamLabs", "we", "our", "us"). This Privacy Policy explains what information we collect when you use ViamOne (the "Service"), how we use it, and your rights. By using the Service you accept this policy.

ViamLabs is not a data broker and does not sell your personal data. Your documents are processed solely to deliver the Service to you.

2. Information We Collect

2.1 Account information

Name, email address, and password hash when you register. If you sign in via Google OAuth, we receive your name and email from Google.

2.2 Documents and files you upload

Files you upload are stored encrypted in Cloudflare R2 object storage. We extract text, metadata, and other data from these files using automated AI processing to provide classification, reminders, and insights. This content never leaves our processing pipeline to be sold or shared with third parties for advertising.

2.3 Usage data

Log entries, IP addresses, browser/device type, pages viewed, and feature interactions for security auditing, debugging, and product improvement.

2.4 Communications

If you contact us by email, we retain those communications to respond and improve the Service.

3. How We Use Your Information

  • Provide, operate, and improve the Service
  • Process documents with AI to extract entities, dates, and classifications
  • Send transactional emails (verification, reminders, alerts you configure)
  • Detect and prevent fraud, abuse, and security incidents
  • Comply with legal obligations
  • Communicate about material changes to this policy or the Service

We do not use your documents to train AI models. Each AI session operates on your data in isolation and is discarded after processing.

4. Sharing and Disclosure

We do not sell, rent, or trade your personal information. We may share information with:

  • Infrastructure providers — Cloudflare (storage, compute, CDN) under data processing agreements.
  • AI API providers — Anthropic (Claude) for document analysis, subject to Anthropic's API data-handling commitments. Prompts containing your document content may be transmitted to Anthropic's servers.
  • Email delivery — SendGrid for transactional emails.
  • Law enforcement — When required by valid legal process, or to protect the rights and safety of ViamLabs, users, or the public.
  • Business transfers — In connection with a merger, acquisition, or sale of assets, your information may be transferred. We will notify you via email or prominent notice before your data becomes subject to a different privacy policy.

5. Security

We implement reasonable technical and organizational measures to protect your information, including AES-256 encryption at rest, TLS 1.3 in transit, access controls, and audit logging.

HOWEVER, NO SECURITY MEASURE IS PERFECT OR IMPENETRABLE, AND NO METHOD OF DATA TRANSMISSION OR STORAGE CAN BE GUARANTEED AGAINST INTERCEPTION OR MISUSE. WE CANNOT GUARANTEE THE ABSOLUTE SECURITY OF YOUR INFORMATION. In the event of a data breach that is required to be reported by applicable law, we will notify affected users as required. ViamLabs' liability for any security incident is limited as set forth in the Terms of Service.

6. Data Retention

We retain your account information and documents for as long as your account is active or as needed to provide the Service. You may delete individual documents, your entire vault, or your account at any time from within the Service. Deletion is permanent and irreversible.

We may retain anonymized, aggregated, non-identifiable usage statistics after deletion. Backup copies may persist for up to 90 days following a deletion request before being fully purged.

7. Your Rights

Depending on your jurisdiction, you may have rights to:

  • Access a copy of the personal data we hold about you
  • Correct inaccurate personal data
  • Delete your personal data and account
  • Restrict or object to certain processing
  • Data portability (export your documents)

8. Children's Privacy

The Service is not directed to children under 16. We do not knowingly collect personal information from children under 16. If we become aware that we have collected such information, we will take steps to delete it promptly.

9. International Transfers

ViamLabs LLC is organized under the laws of the State of Texas and operates from the United States, relying on Cloudflare's global infrastructure. Your data may be processed and stored in the United States or other countries. By using the Service, you consent to the transfer of your information to countries that may have different data protection laws than your country of residence. Any disputes arising under this Privacy Policy shall be governed by the laws of the State of Texas.

10. Changes to This Policy

We may update this Privacy Policy from time to time. If we make material changes, we will notify you by posting the new policy with a revised effective date and, where required by law, by email. Continued use of the Service after the effective date constitutes acceptance of the updated policy.
